PRESIDENT
Drives the strategic agenda through setting objectives and planning. Chairs the monthly meetings and keeps discussion on track. Generally oversees the running of Playgroup. Encourages active participation across the Committee. The President may volunteer to take on additional tasks from time-to-time, or tasks that do not fall under a particular portfolio. Liaises with Council and other agencies on high-level issues and prepares grant applications. The President represents WPG at community functions, and other formal events as required. Shares role with PR as a media spokesperson. Regularly communicates with the membership via email.
SECRETARY
Prepares the agenda and takes the minutes at the monthly meetings. Collects and distributes incoming mail. Administers the Playgroup email account and Dropbox folders. Attends to any correspondence required. Keeps the Playgroup operations manual up-to-date. Lodges annual statements with consumer affairs. Supports the President as required.
TREASURER
Keeps accurate accounting records. Regularly reports the Playgroups financial position (balance sheet, cash flow, fundraising performance etc) at committee meetings. Oversees the production of an annual budget. Keeps track of payment of Playgroup fees and attends to payment of accounts. Keeps a record of Playgroup Victoria memberships and group lists in conjunction with the Enrolments Officer. The Treasurer is the signatory for our offline bank accounts, and is the registered user for our online bank accounts.
ENROLMENTS
Responds to new enquiries via email and carries the Playgroup mobile phone. Provides new members with enrolment information and allocates new members to appropriate groups. Monitors group sizes. Speaks with new mothers groups to promote Playgroup in conjunction with the Maternal Health Nurse. Assists the new mothers groups with transition into Playgroup. Collects enrolment forms. Maintains the weekly attendance forms. Assist each group to elect a leader and maintains communication with each group through this leader.
COMMUNICATIONS / PR
Writes and submits stories, media releases and articles to local media and publications as relevant. Seeks opportunities to promote Woodend Playgroup within the community. Writes and coordinates the newsletter. Maintains the Playgroup Facebook page. Updates and creates promotional material and communications.
MAINTENANCE
Identifies or responds to maintenance issues and organises appropriate maintenance either through liaison with Council or an appropriate tradesperson. Arranges annual fire equipment inspection and playground inspection, and organises any work required. Coordinates working bees.
EVENTS
Organises the Playgroup Christmas Party in December. Scope to organise guest speakers or other events during the year. Organises fundraising activities. These can be as many/few as the Committee agree. In the past these have included raffles, cake stalls, trivia night, tea towel craft and sausage sizzles
PURCHASING
Responsible for using the Playgroup Coles card to purchase everyday items needed at Playgroup such as tea, coffee, sugar, milk and cleaning supplies. Also responsible for purchasing new toys, furniture and art and craft supplies as approved by the Committee.
ACTIVITIES
Plans regular, and event specific art and craft activities for the children (e.g. Mothers Day Activity). Organises activities that support play and learning as appropriate.
COMPLIANCE
Ensures policies are in place across all areas of Playgroup – including insurance, OH&S and other relevant policies. Writes policies and procedures relevant to compliance, and works with the Secretary to ensure the operations manual is maintained correctly to reflect these policies and procedures.
